Google Takeout for Pitzer Google Accounts
Pitzer College will be retiring services like Google Drive and Google Photo for alumni users. Additionally, Alumni accounts will be limited to a total of 5GB of total storage, to be used with Gmail. These instructions can help you copy your Google data to another location, allowing you to delete data from your Google account to meet the new 5GB data storage limit.
Please follow these instructions if you export your data with Google Takeout.
When exporting your data, it is important that you do not select Drive as the “Transfer to” destination.
The export process may take hours or days, so it is important to start well before announced service retirement deadlines.
Instructions
1. Sign in to Google Takeout
- Sign into your Pitzer Google account (using Chrome for best compatibility), then visit takeout.google.com
2. Go to section 1: Select data to include. Click "Deselect all" to clear default selections.

3. Scroll down to Google Drive and check the box next to it to select it.

4. To granularly select specific folders from your drive, rather than exporting the complete contents, click the All Drive data included button

- Uncheck Include all files and folders in Drive. Then, click Deselect All.

- Check the box for each folder you want to export and click OK at the bottom of the Drive content options panel.

5. Scroll to the bottom of section 1 and click Next Step

6. Go to section 2: Choose file type, frequency and destination.
- For most users, the default settings here will work well.
- Transfer to: Send download link via email.
- Frequency: Once File Type: .zip File Size: 2GB

- If modifying the Transfer to settings:
- Do not select Add to Drive as your export method. You can export to a personal (non-work/school) third-party cloud account (e.g., Dropbox, OneDrive, Box), if you have available space on that account.
- Note: Support from Pitzer IT will be limited if exporting to a third-party cloud account.

- If exporting a large volume of data, you may elect to increase the File Size setting for your ZIP file.
- You can increase to 50 GB per file.
- If you are exporting more data than can be held by a file of the chosen size, you will receive links to multiple ZIP files.

7. Click “Create export”. Google will notify you via your Pitzer Gmail account once the export is ready.

8. Google will then begin exporting your data. Once complete, Google will send download links for your data to your Pitzer Gmail.
- It may take hours or days before your emails are generated.
- The links will expire in seven days. If you do not download your data before the links expire, you will need to repeat the export process.

After backing up your Drive data, you can use Takeout to back up data from other Google services, like Google Photo.
To back up data from another service, simply select that service instead of Drive in step 3 of these instructions.
